Position: Executive – Front Office
Language: English, Hindi and Marati
Communication: Excellent speaking and email communication
Age:25 to 30 years
Experience: 2 year to 5 year
Preferred Industries: Hospitality Industries


Ensure that the Business Centre operations run efficiently and smoothly by relating to Clients and visitors in a courteous manner and making them feel “at home” in Business Centre. To coordinate the work of centre staff including front office.


  • Meeting and Greeting: To meet and greet visitors to the centre in a friendly professional manner
  • Answering Telephone: To ensure that all calls are directed to the appropriate person/client in a helpful and informed manner. Calls to be answered as quickly and efficiently as possible. Follows standard telephone etiquettes.
  • Handling Queries: To handle client queries in a professional and courteous manner, escalating to the relevant MLS departments if necessary. Acts on client requests and complaints.
  • Front Office Records: To keep the files, registers and internal billing system up to date on a daily basis.
  • Daily Centre Walk: Daily covering all areas in and around the Business Centre and surrounding premises occupied/vacant client suites to ensure that any area related to the BC is clean, hygienic, well maintained and in good condition.
  • Move in & Move out: Ensure smooth move in and move out as per the BCM’s instructions.
  • Stationery & Toiletries: To maintain stock of stationery & toiletries and place orders at regular intervals. Fulfils client requests on stationery and supplies.
  • Courier & Postal: To organise delivery of incoming post & courier to clients. To arrange for outgoing post & courier
  • Meeting Rooms & Conferences: Take bookings for the meeting rooms & conferences. Organise food and beverages at client’s request and also order necessary meeting room equipment and stationery as per clients requirement
  • Client Service System (CSS): To maintain a record of all IT, Non-IT requests & complaints from clients and also update clients on maintenance activity both planned / unplanned in the building from time to time
  • Secretarial Assistance: Handles fax, photocopying, scanning & typing. Operates telephone switch board, provides information to clients and takes messages.
  • Housekeeping: Supervise Housekeeping for daily activities to ensure that all parts of the BC are kept clean and adhering to the corporate hygienic standards and best practice
  • Security: Coordination of daily work such as, Couriers, Visitor moment register, Keys etc.,
  • Access System and Keys: To ensure that a record of bio-metric access, keys etc provided is maintained and updated.
  • Other Assistance (Clients): To help in ticket reservations, hotel & cab bookings.
  • Other Assistance (BCM): Daily supervision of reception, garden, rest rooms, pantry areas, common corridors and other common areas to help BCM upkeep the Business Centre. To help in License Agreement, Move in/Move out formalities, Welcome/Farewell Pack, Running Expenses, License Fee, and Occupancy Report & Weekly Expenses Report. Bills clients for license fee and Running expenses (when BCM is not present or when he/she is in transition)
  • Takes up additional responsibilities as directed.
